Coimbatore has thousands of small and medium businesses - textile units, pump and motor makers, foundries, traders and shops - plus salaried professionals and families with rental income or capital gains. Sooner or later most of them need a chartered accountant (CA) for tax returns, GST, audits or certificates. This guide explains how to check a CA, agree the work and protect your documents. It does not give tax advice; tax rules change, so always get advice for your own situation.
What a CA Can Do for You
- Income tax returns for individuals, firms and companies, and replies to notices.
- GST registration, returns and reconciliation.
- Tax audit and statutory audit where the law requires it.
- Accounting and bookkeeping, monthly or yearly.
- Company and LLP compliance: annual filings, board resolutions, ROC forms (often with a company secretary).
- Certificates: net worth, turnover, visa and loan-related certificates.
- Business advice: structure, costing, cash flow and funding.
Decide which of these you need before you start calling firms.
Step 1: Verify the Qualification
Only members of the Institute of Chartered Accountants of India (ICAI) may call themselves chartered accountants, and only members with a Certificate of Practice can sign audit reports and certificates for clients.
- Ask for the membership number of the CA who will sign, and the firm registration number if it is a firm.
- Verify them on ICAI's official website.
- Many offices employ staff, articled assistants and semi-qualified accountants. That is normal, but know who reviews and signs your work.
Step 2: Know About UDIN
Since February 2019, ICAI has required practising CAs to generate a UDIN (Unique Document Identification Number) for certificates they sign, and since April 2019 for tax audit and GST audit reports. The UDIN is an 18-digit number printed on the document.
- Banks, embassies and government departments can check a UDIN on ICAI's UDIN portal, and so can you.
- A certificate with no UDIN, or one that does not verify, is a warning sign; a bank may reject it.
Step 3: Match the CA to Your Needs
- Salaried person with simple income: a small practice or even self-filing may be enough.
- Shop or trader with GST: a CA or firm with a steady GST team, as returns are monthly or quarterly.
- Manufacturing unit or exporter: look for experience with your industry, stock valuation, and export benefits.
- Company or LLP: a firm that handles audits and ROC compliance, often with a company secretary.
- Capital gains, property or NRI matters: ask specifically about experience with these.
Ask how many clients like you they handle, without asking for their names.
Step 4: Agree the Scope and Fees in Writing
A short engagement letter or email should cover:
- The exact services: which returns, which periods, audits, certificates.
- Fees: per return, per month or per year, and what counts as extra (notices, revised returns, urgent work).
- Deadlines: when you will give documents and when they will file.
- Who is your contact and who signs.
- How acknowledgements and copies of filed returns will be shared with you.
Pay by bank transfer and keep invoices.
Step 5: Protect Your Documents and Logins
You will share PAN, Aadhaar, bank statements and often portal logins. Be careful:
- Ask how they store documents and who has access.
- Where possible, keep portal passwords yourself, and change them if you change accountants.
- Make sure OTPs come to your mobile and email, not the accountant's, so you see what is filed.
- Always ask for a copy of every return and acknowledgement filed in your name.
- Keep your own copies of the books of account.
Step 6: Stay Involved
Even with a good CA, you are responsible for what is filed in your name.
- Read the return summary before it is filed.
- Check that GST returns match your sales and purchase records.
- Open and forward every notice from the department at once.
Changing Your CA
If you change accountants, ask for your records, working papers relevant to you, and a list of pending matters. For audits, the incoming auditor normally communicates with the previous one as per professional rules, so tell both.
Other Services Local Businesses Need
A growing business also needs reliable office services. If you are setting up an office, our guides on housekeeping services and computer repair services in Coimbatore cover what to check.
Red Flags
- Cannot give an ICAI membership number, or it does not verify.
- Certificates with no UDIN.
- Promises of a refund "guaranteed", or suggestions to show false expenses.
- Filing without showing you the return.
- Keeping your portal passwords and refusing to share acknowledgements.
- No invoice for fees.
Next Steps
List the services you need, shortlist two or three CAs, verify their ICAI membership, and agree the scope and fees in writing. You can find chartered accountants and tax consultants listed in the Kovai Yellow Pages directory.
Frequently Asked Questions (FAQ)
How can I check that someone is a real chartered accountant?
Only members of the Institute of Chartered Accountants of India (ICAI) can call themselves chartered accountants, and only those holding a Certificate of Practice can sign audit reports and certificates for clients. Ask for the membership number and firm registration number and check them on ICAI's official website.
What is UDIN?
UDIN (Unique Document Identification Number) is an 18-digit number that ICAI requires practising CAs to generate for certificates and audit reports they sign. Anyone who receives such a document can verify it on ICAI's UDIN portal. A certificate without a valid UDIN should be questioned.
Do I need a CA to file my income tax return?
Many salaried people file their own return on the Income Tax Department's e-filing portal. A CA helps when you have business income, capital gains, several income sources, notices from the department, or need an audit. Tax rules change every year, so get advice for your own case.
What is the difference between a CA and a tax consultant?
A tax consultant or GST practitioner may help with filings, but only a practising chartered accountant can sign statutory audit reports, tax audit reports and many certificates. Check the person's qualification against the work you need.
